How to turn sales call notes into a proposal with AI

An AI agent reads your sales call transcript and drafts a summary and proposal in your template and prices. A salesperson edits, approves and sends it.

An agency can turn sales call notes into a proposal with an AI agent that reads the call transcript or meeting notes and drafts a call summary and a full proposal in your own template, using your own services and prices. A salesperson edits the draft and sends it, and when the prospect opens or signs, the deal updates in your CRM and the team gets a message. BizElevate built this for a digital marketing agency in Singapore, where it's live.

The problem it solves

After every sales call, a salesperson copies from their notes, old proposals and the price sheet to build the proposal by hand. Then they update the CRM. Then they tell the team. Quotes go out days late.

The slow part is copying from notes, old proposals and the price sheet. That's the part an agent can take over. If you're not sure whether a job needs an agent or a simpler automation, see AI automation vs AI agents.

What goes in

The agent works from things your agency already has.

  • The call transcript or meeting notes. Saved somewhere the agent has been given read access to.
  • The deal in your CRM, so the proposal carries the right company and contacts.
  • Your proposal template, with your structure and wording.
  • Your services and prices, kept up to date by someone on your team.

Prices come only from your own list. The agent writes the words around them.

How it works, step by step

  1. The salesperson drops in the call transcript or meeting notes. That's the only new step for them.
  2. The agent reads the call and writes a summary. For example: what the prospect wants, what's in their way and what was agreed as the next step.
  3. The agent writes the proposal in your template, using your own services and prices and the details from the call.
  4. The salesperson edits the draft and sends it. Every part the AI wrote can be changed first.
  5. The agent watches what happens next. When the prospect opens or signs the proposal, the deal updates in your CRM and the team gets a message.

Who does what

The salesperson is the one who approves. Nothing goes to the prospect until they've read it, edited it and sent it.

The rules we build into a proposal agent

These are the rules we build to on a new proposal agent.

Every AI-written part is editable. The summary, the intro, the scope and the wording around the prices can all be changed before anything goes out. A draft you can't fix is a draft nobody uses.

Nothing goes out before the salesperson approves it. The agent drafts. A named person on your team reads it and sends it. We don't build proposals that send themselves.

Prices come from your list, not from the AI. The agent picks from the services and prices you've given it. If a price changes, someone on your team changes it in one place.

Very short calls get flagged. A call with almost nothing said in it gets flagged instead of turning into a thin draft that looks finished.

Proposal pages are hidden from search engines. A proposal is for one prospect. It shouldn't turn up in a search.

Open and sign update the CRM and alert the team. The salesperson knows when to follow up, and the deal record stays current without anyone typing it in.

Gaps get flagged. If the call didn't cover something, that section is flagged for the salesperson to fill in or hide.

A stricter version: every claim tied to the call

Hady Wu, BizElevate's founder, is building a stricter version for BizElevate's own sales calls. Every claim in the brief has to point to a line in the call. Anything that doesn't becomes a question for him instead of a sentence in the proposal. He then approves one exact version before it goes out.

If your proposals carry commitments agreed on the call, such as scope, timing or price, that's a fair thing to ask any builder for.

What your agency needs to provide

  • Recorded calls with transcripts, or meeting notes taken during the call.
  • CRM access for the deals the proposals belong to.
  • Access to wherever calls are saved. The agent can only read what it has access to, so this gets set up first.
  • Your current template and a few past proposals you'd happily send again.
  • Your services and prices, with one person who owns the list. The agent quotes whatever it's given.
  • Your brand basics: logo, colours and fonts.
  • One person who knows how proposals are done today, to review drafts while we build.

Access and sample material move the start date more than anything else, so they come first.

How long it takes and what it costs

What you buyBizElevate priceTiming
Proposal agent buildUS$3,000 to US$6,000Live in 2 to 4 weeks
Monthly retainer (optional)US$2,000 to US$5,000 a monthDeliverables agreed up front each month

Where a build lands in that range depends on how many templates you need, whether the agent only reads your CRM or also updates it, and whether proposals need e-signing. A good first version can be one template, the CRM link and the open and sign alerts. More can follow.

You own everything we build. There's no lock-in.

Who it suits, and who it doesn't

It suits you if:

  • You run discovery calls every week and each one should end in a proposal.
  • Your services and prices sit in a fixed menu.
  • You already record calls and keep deals in a CRM.
  • Proposals go out days late because someone has to copy from notes, old proposals and the price sheet.

It's a poor fit if:

  • You send a handful of proposals a month. A good template will do.
  • Every proposal is a custom tender with its own pricing model and compliance pages.
  • Calls aren't recorded, or the notes are too thin to write from.
  • You want proposals to go out with no one reading them first. We don't build that.

Frequently asked questions

Can AI write a proposal from a sales call transcript? Yes. An AI agent can read the transcript, write a call summary and draft a full proposal in your template, using your own services and prices. A salesperson edits and sends it. BizElevate runs this at a digital marketing agency in Singapore.

Does the agent send proposals to prospects on its own? No. Nothing goes to the prospect until the salesperson has read, edited and sent it.

What happens after the prospect opens the proposal? When the prospect opens or signs the proposal, the deal updates in your CRM and the team gets a message, so the salesperson knows when to follow up.

What if the call wasn't recorded? The agent needs something to read. Meeting notes work, but the summary is only as good as the notes. Recorded calls with transcripts give it the most to work from.

How much does an AI proposal agent cost? A BizElevate build costs US$3,000 to US$6,000 and goes live in 2 to 4 weeks. An optional retainer of US$2,000 to US$5,000 a month covers new agents or upgrades after launch.

Who owns the proposal agent? You do. You own everything we build, including the templates, the agent and your data. There's no lock-in.
