What happens in a free AI pilot, step by step

In a free AI pilot we build one AI system around one process your team does by hand. Each step, what you hand over and how you decide what comes next.

What happens in a free AI pilot, step by step

A free AI pilot with BizElevate is one AI system built around one process your team does by hand, on your real data, and shown to you at the end so you can decide what comes next. We ask for someone on your team who knows the process, a sample of the data it runs on, access to the tools involved, and a quick look at each draft while we build.

What happens in the free pilot, step by step

The free pilot follows the same order every time.

  1. A call to pick the process. On a 30-minute call we look at how your team works today and agree on one workflow, usually the one that slows the team down most. Other ideas go on a list for later.
  2. A mutual NDA. Both sides sign a standard mutual NDA so you can share real files and we can look at them properly.
  3. The free pilot agreement. This is a one-page plan. It writes down the scope, the kickoff date and what success looks like. It's written down before we build anything, so nobody argues about it at the demo.
  4. Access through a secure link. You give us access to the tools the process uses. If a key or login is needed, we send a secure link for it. We never take a password or key over chat or email.
  5. The build, reviewed as we go. We build the system on the tools you already use. You see drafts while we work and tell us what's off, so the result fits how your team actually does the job.
  6. The demo. We show you the system on your real data, with the before and after.
  7. Your decision. You choose to keep it running, add another process, or stop. There's no obligation to continue. If you want to keep going, we send a proposal for the paid work.

We don't have a public demo link to send before this. Each system is built around one client's data and workflow, so a generic demo wouldn't show you much. What we can show is the agent library: agent examples our team put together, grouped by team, each with the before and after and where a person checks the work.

What you give us during the pilot

Four things, and we do the build.

  • Someone on your team who knows the process. The person who knows how the work is done today.
  • A sample of the files or data the process runs on. Real examples from your own work.
  • Access to the tools involved. Your CRM, your shared drive, your project tool, whatever the process touches. Any key or login goes through the secure link.
  • A quick look at each draft. Short reviews while we build, so problems show up early.

Access and sample data move the date more than anything else, so we ask for them first.

One more part of the setup is an AI account in your own name. BizElevate charges nothing for the free pilot: the design, the build and the setup are free on our side. The AI usage itself runs on your own account, and you pay it there. How much depends on the volume of the task, and we set it up so you can see it.

What an AI pilot includes, and what waits until after

The free pilot covers one workflow for one team. That limit is on purpose. One process, done properly on real data, gives you something real to judge.

Here is what it includes:

  • The process we picked together on the first call
  • A build on the tools your team already uses
  • Your team's review of each draft along the way
  • The demo, with the before and after

Here is what it doesn't include:

  • A second workflow
  • A platform for the whole company
  • A rollout to every team

If you ask for a longer pilot, or a pilot across two teams, the answer is one team and one process first, then widen after the demo. Anything else you want built goes on the list for after the demo, where we can talk about it with something real in front of us.

To see what a single workflow looks like when it's built, read our case studies. There's a proposal agent for a Singapore agency, a campaign setup agent for an Australian agency and field visit reports for an Indonesian manufacturer. Each one does one job for one team.

What to check before any free AI pilot

Before you agree to a free AI pilot, with us or anyone else, get these points clear.

  • What the pilot builds. Ask whether it builds on your real data and tools or on sample data.
  • What success means, in writing. If nobody writes down what the system should do before the build, the demo becomes a matter of opinion.
  • Who pays for the AI usage. Ask whose account it runs on and how you can see the usage.
  • How access is handled. Keys and passwords should go through a secure link, never chat or email.
  • What happens at the end. Ask what your choices are after the demo, and whether stopping costs you anything.
  • What it asks of your team. Know who on your side needs to be involved and what they need to give.

How this works with BizElevate

BizElevate builds AI agents and automations for agencies and service businesses in Australia, Singapore and Southeast Asia. We've deployed 100+ automations.

We take a small number of free pilots at a time, so timing depends on what is open when we talk. The first step is a 30-minute call to look at your process and pick the one workflow worth starting with. After that, the order above runs as written: the NDA, the free pilot agreement, access, the build and the demo.

You work with the founder. Every draft is shown to you while we build.

Frequently asked questions

What does a free AI pilot include? One AI system built around one process your team does by hand, on your real data and the tools you already use. It ends with a demo that shows the before and after.

How long does the free pilot take? The free pilot takes about two weeks.

What do we need to give you for the pilot? Someone on your team who knows the process, a sample of the data it runs on, access to the tools involved, and a quick look at each draft while we build.

Who pays for the AI usage during the free pilot? BizElevate charges nothing for the free pilot. The AI usage runs on your own account and you pay it there, and we set it up so you can see it.

What happens after the free pilot? You decide whether to keep it running, add another process or stop, with no obligation to continue. If you want to go on, we send a proposal for the paid work.

Can the pilot cover more than one process? No. The free pilot covers one process for one team, and anything else goes on a list for after the demo.
